Transforming Client File Sharing with Microsoft SharePoint
How a business with more than 200 employees moved away from fragmented file-sharing tools and an on-premises NAS to a controlled, scalable collaboration platform.
The challenge
The organisation needed a secure, straightforward way to exchange sensitive records with its clients. External contacts needed to upload information and retrieve progress reports, while employees needed dependable access to current documents wherever they were working.
Existing files were stored on an on-premises NAS, while some employees had begun using Dropbox and other third-party services without central management oversight. This created inconsistent sharing practices and made it harder to maintain visibility and control over business information.
Fragmented file sharing
Different tools and storage locations complicated collaboration and increased the risk of information being shared outside approved processes.
Granular client permissions
Each external client needed access only to its own documents, with permissions aligned to the appropriate internal staff and project contacts.
Remote working limitations
Employees, including travelling sales staff, needed access to current files without depending on cumbersome VPN-based workflows.
Minimal disruption
The migration and deployment needed to preserve business continuity while introducing a consistent approach that could support new clients.
The solution
Following a review of the organisation’s existing Microsoft 365 Business Premium licensing and file-sharing requirements, I designed a SharePoint Online solution to centralise collaboration and apply controlled access for employees and external clients.
Implementation
Worked with the organisation to identify its clients, project references, relevant employees and external contacts. Defined a repeatable process for onboarding additional clients.
Moved files from the on-premises NAS into SharePoint Online using Microsoft’s SharePoint Migration Tool, with the transition planned to minimise operational disruption.
Established client- and project-specific security groups and folder permissions. External contacts were invited to collaborate and given access only to the areas appropriate to their assignments.
Introduced policies for controlled sharing, including browser-based viewing and download restrictions where required, reducing opportunities for inappropriate local copies.
Deployed SharePoint library synchronisation through policy so staff did not need to configure it manually. Applied OneDrive Files On-Demand and storage-management policies to limit unnecessary local disk consumption.
Established a consistent method for bringing new clients and projects into the platform, helping the organisation move away from ad hoc third-party file-sharing arrangements.
The outcome
A more secure and practical way to work
- Centralised collaboration: a common, managed location for internal and external file exchange.
- Better access control: permissions structured around clients, projects and authorised contacts.
- Improved mobility: staff could work with current documents over an internet connection, without relying on the previous VPN-based file access process.
- Less endpoint storage pressure: cloud-backed files and on-demand access reduced the need to retain entire libraries locally.
- Stronger recovery options: SharePoint version history provided additional ways to recover previous document versions.
- Repeatable onboarding: a defined process supported the addition of future clients and projects.
Why this project mattered
This was more than a storage migration. It brought file sharing, client collaboration, access management and endpoint configuration into one coherent Microsoft 365 environment. The result was a platform designed to make secure working part of the everyday workflow rather than an obstacle to it.
It also demonstrated how an organisation can gain greater value from Microsoft 365 capabilities it already licenses, instead of continuing to rely on a patchwork of disconnected file-sharing products.
